Contact enquiries and attachments
The form collects your name, email address, phone number, project type and budget indication. Company, message and attachment are optional. The enquiry’s source page is also transmitted. We use this information to understand your needs, respond and, at your request, prepare a proposal or contractual relationship.
Processing is based on precontractual steps requested by the person concerned or, for professional correspondence on behalf of an organisation, our legitimate interest in responding to enquiries addressed to the agency. Required fields are marked; the form cannot be submitted without them.
Enquiries are delivered to our OVH mailbox. The website does not store messages or attachments in an application database. Avoid sending sensitive data or third-party information that is unnecessary for your enquiry.
Retention periods
Enquiries that do not result in a contract and their attachments are retained for 12 months after the last exchange. Customer records are handled separately: information needed for contracts, invoicing and legal obligations may be retained according to applicable obligations or the need to establish or defend a right.
To protect the form, IP addresses are used to count attempts over a 15-minute window. Counters are temporary and held in memory; expired entries are cleaned up on subsequent requests. Hosting and email providers may also process technical logs under their own service terms.
Recipients and service providers
Enquiries are accessible to authorised Gaspa personnel who handle them. Cloudflare hosts and distributes the website; OVH provides the mailbox receiving enquiries. Google Analytics and Sortlist Radar are activated only after consent for the corresponding purpose.
These providers may use infrastructure or subprocessors outside the European Economic Area. Applicable safeguards and arrangements depend on the service concerned. Contact us for information about the providers used for your enquiry.
Your rights
Subject to the GDPR’s conditions, you can request access, rectification, erasure, restriction or portability of your data and object to processing based on legitimate interests. You can withdraw consent to optional trackers at any time.
Send your request to contact@gaspa-agency.com with enough information to locate your enquiry. If there is reasonable doubt about your identity, proportionate verification may be necessary. You can also complain to the Belgian Data Protection Authority.
External services
When you follow a link to Calendly, a review platform or another application, that service handles your visit under its own policy. This policy covers the Gaspa website and does not replace those services’ policies.
